Why a dated paper trail matters when you write to your resort
What a documented paper trail is, what goes in it, and why certified mail with tracking is the cheapest insurance an owner can buy when writing to a resort.
When you write to your resort about leaving a timeshare, the letter itself is only half the job. The other half is being able to show, later, exactly what you sent, to whom, and when, and that it arrived. That is what a documented paper trail is: a dated record of every step, kept in one place.
Why it matters
Resorts are large organizations. Letters get routed between departments, replies take weeks or months, and a request made by phone leaves no record on your side at all. If a question ever arises about what you asked for and when you asked for it, a dated written record answers it. Without one, it is your memory against the resort's files.
A good record also keeps you oriented. The process involves waiting, sometimes 30 or 60 days between steps, and it is easy to lose track of what went out and what came back. An organized record means you always know where you are.
What goes in it
- A copy of every letter you send, exactly as sent and signed.
- The date you mailed it. Not the date you wrote it; the date it went into the post.
- The certified-mail tracking number, and the delivery confirmation once it arrives.
- Every reply you receive, including acknowledgments, billing notices, and marketing mail, with the date received. It is easier to decide later what matters than to wish you had kept something.
- Notes on any phone calls: the date, who you spoke to, and what was said. Phone calls are not a substitute for writing, but notes are better than nothing.
Why certified mail
Certified Mail with tracking is a United States Postal Service option that costs a few dollars more than a stamp. In return you get a tracking number and a record of delivery. That record is what turns "I sent a letter" into "a letter was delivered to this address on this date." It is the single cheapest piece of evidence in the whole process, and it is the step people most often skip.
Keep the receipt the post office gives you, and record the tracking number before you lose the slip.
How the program handles this
The Donthirean Exit Company dashboard is built around this record. Each step asks you to save what you sent, the date, and the tracking number. Over the course of the program it becomes an organized, dated account of everything you have done, which is also what lets you pick the process up again after a long waiting period without digging through old paperwork.
We are not attorneys and this is not legal advice. Keeping a careful record does not determine what a resort will decide, and no outcome is promised. It does mean that whatever happens, you will be able to show what you did.
